To enhance the mission of the Department of Housing and Residential Life, the Assistant Director of Housing Operations will report to and support the Director of Housing and Residential Life in all aspects of student housing operations and the student housing experience including housing assignments, room changes, fee assessments, and key management. The Assistant Director of Housing Operations will help develop and manage key departmental processes related to student housing operations, as well as identifying process improvements. The Assistant Director of Housing Operations also serves as a primary liaison between Housing and Facilities.
The Assistant Director requires technical skill in utilizing housing software to complete assignments, managing processes, providing reports, and accessing data. This position serves as the primary technical and data specialist responsible for maintaining the SQL housing database and needs an understanding of SQL relational databases as well as the ability to work in a team environment of both technical and non-technical staff. The Assistant Director provides oversight for housing and billing including processing cancellations received via email and student housing portal, deposit refunds, transfers and forfeits, and charging cancellation fees.
Housing and Residential Life is open on evenings and weekends during peak seasons such as, but not limited to, move-in/outs, Housing Selection & Placement Process, new student assignments, and New Student Orientation. Additionally, Housing and Residential Life may be open on several University oating holidays and break periods. The Assistant Director must provide evening, weekend, and holiday coverage in collaboration with the Housing and Residential Life team, as needed during these extended business hours.

RESPONSIBILITIES INCLUDE:
Housing Assignments and Operations :
Assist the Director in creation of housing processes and initiatives related to prospective and first-year students.
Manage student housing assignments through the Living Learning Community (LLC) model; plan, implement, and communicate timelines for key departmental processes.
Support department and divisional projects including logistics of each move-in/out process, data analysis and reporting, and Housing process improvements.
Develop skill utilizing the housing information system (RMS Mercury) as a Super User.
Manage the organization, security, and general administration of physical keys and key room for residential buildings.
Responsible for housing assignments for various academic terms through established timelines of the Department.
Assist the Director in creation of processes and initiatives related to summer and intersession housing.
Assist with planning and execution of regular housing processes for emergency preparedness and health/safety (e.g., egress drills, semesterly health and safety room inspections).
Occupancy Management :
Responsible for consistent and timely review and processing of residency waivers for students through fact finding and case management through to resolution.
Maintain annual tracking data about residency waivers to provide to Director and university leadership as needed.
Lead semesterly audit processing to ensure accurate student rosters and billing.
Regularly review reports for student housing eligibility status, in collaboration with the Housing Operations Coordinator.
Communicate with students referred for room changes; assist with approving and processing room change requests.
Collaborate with other Housing Services staff in managing vacancies to best manage occupancy.
Customer Service and Department Leadership :
Provide individualized customer service to students and families via phone, email, Teams, Zoom, and in-person to ensure clarity of housing processes and policies.
Represent Housing department through engagement with prospective students and participation in Orientation events.
Collaborate with housing/university partners across the Northeastern global campus network.
Serve as member of Housing & Residential Life leadership team. Lead, engage, and motivate employees. Actively support a positive team culture.
Communicate effectively with key campus partners related to housing operations and the student housing experience, including Facilities, Residential Security Office (RSO), Department of Public Safety (DPS), Disability Access Services (DAS), Business/Auxiliary Operations, Orientation, Student Financial Services, Global Experience Office, and others.
MINIMUM QUALIFICATIONS:
Bachelor's degree in Higher Education Administration, Hospitality Management, Communications, or other field required; Master's degree preferred. The ideal candidate has 1-3 years' experience in a college/university setting with background in Housing & Residential Life Administration or related field.
Flexibility to work on several projects concurrently and must demonstrate sensitivity in working with confidential matters.
Sound judgement and analytical skills, attention to detail with a high degree of accuracy, and ability to work under pressure with a positive attitude.
Ability to work effectively, possess enthusiasm for higher education and have an overall commitment to excellence in customer service.
Ability to work in a team environment and communicate with various stakeholders including staff, students, and families.
Excellent written and verbal communication skills.
Experience with housing management software or other university systems is preferred.
Experience with Excel and Microsoft 365 suite (Outlook, Word, OneDrive, SharePoint) is preferred.
Experience with customer service and with large group public presentations is preferred.
The expected hiring range for this position is USD $68,640 to USD $74,075. Within the expected hiring range shown above, the starting salary will depend on several factors, which may include your education, experience, location, knowledge, and skills as well as a pay comparison to similarly-situated employees already in the role. The expected hiring ranges are taken from the full salary ranges, which are reviewed each year and are subject to change.
