Residence Life & Housing is accepting applications for two (2) Administrative Assistant I positions.
The Administrative Assistant I primary responsibility is to provide support for the day-to-day housing and programmatic operations of the department. This position works in a fast paced office environment, and provides clerical support and superior customer service to a diverse group of students, families and other BSU departments.

Full-time, AFSCME position TOUR OF DUTY: 8:45 a.m. to 5:00 p.m. Monday - Friday (with Saturday and Sunday as days off). (Subject to Change) This is an AFSCME unit position and is subject to the terms of that union agreement.

Essential Duties:
CORE DUTIES:
Facilitate overall front office customer service efforts and serve as initial contact for all in-person customer service activities within the Office of Residence Life & Housing by answering phone calls and greeting walk-in traffic.
Perform clerical duties including but not limited to: answering telephones and directing calls; data entry; responding to departmental e-mail and voicemail; approving and distributing flyers; assisting in preparation of large mailings; taking minutes at staff meeting; and sorting and distributing mail daily.
Assist members of the leadership team with scheduling and/or arranging meetings, conferences, interviews, and appointments.
Complete all items related to travel arrangements for supervisors within area.
Make referrals for students on a variety of concerns related to residence hall living.
Code cards for students and staff for building/room access using card access systems.
Act as a liaison with various local, state and federal agencies as well as other vendors to exchange information, resolve problems and coordinate activities.
Review and analyze data within outlined area activities in order to improve work methods, determine progress, and revise established procedures and/or to provide information to supervisors.
Comply with the Universitys budget process, including but not limited to credit card usage and allocation, contracts, purchase orders, budget transfers, and payment of all invoices as outlined in procurements procedures.
Complete all aspects of event planning, including event reservations and catering orders.
Complete monthly and annual reports as directed.
Attend all staff meetings and professional development as determined by the Office of Residence Life and Housing and/or Student Affairs and Enrollment Management.
Other duties as assigned.
OTHER DUTIES:
Provide clerical support to members of the Residence Life and Housing leadership team.
Coordinate customer service efforts and initiatives that focus on creating a customer-centric experience within the front office.
Maintain an inquiry follow-up tracking system to help ensure prompt departmental follow up on student, family, or other stakeholder inquiries.
Support student and fulltime staff recruitment, selection, and training initiatives.
Maintain the RLH key box and perform regular audits to ensure keys and cards are accounted for.
Provide support for summer conferences which includes but is not limited to linen ordering, billing, card coding and making key envelope labels.
Post jobs in student employment for student employees within the department.
Support assessment needs which may include building surveys, entering data, monitoring responses.
Participate in and provide support for new staff searches which includes but is not limited to, scheduling interviews, serving on search committees and entering data.
Assist with uniform ordering/tracking.
Required Qualifications:

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in office management, office administration, business administration or business management, the major duties of which included one or more of the following functions: purchasing, personnel management, budgeting, accounting, records management, work simplification, grants management, contract administration or program management, (B) any equivalent combination of the required experience and the substitutions below:
I. An Associates or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.
II. An Associates or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
