JOB SUMMARY
This position applies analytical processes to the implementation, enhancement, and support of IT systems to meet business requirements. As such, it requires diagnostic and problem-solving skills, knowledge of business practices, the ability to conduct business process analysis, and detailed understanding of IT project management.
This position provides functional and technical support for a variety of University software systems, including SAP Concur Travel, ESM Contract Management, ESM Purchase, ESM Source, and other related software. In addition, this position acts as a subject matter expert for projects related to travel, contracts, e-procurement, and sourcing.
This position works closely with Business Services, Travel Services, Risk Management, Accounts Payable, Facilities Management, Western Libraries, Housing and Dining Services, and other departments. It also works with external agencies such as Whatcom Transportation Authority. This position will interact with management, staff, vendors, consultants, and project managers to provide business process improvements, problem resolution, documentation, and training.
Job duties for this position are conducted via remote work, with the occasional need for onsite work.
POSITION RESPONSIBILITIES
Provide functional and technical support for SAP Concur Travel
Tasks include but are not limited to:
Writing programming requests for in-house processes and customizations which support multiple integrations to Banner Finance, plus per diem loading.
Testing integrations; authorizing central IT to rollout integration changes on production.
Providing time-critical support for serious issues and system-down events.
Performing troubleshooting; investigating and resolving problems reports by users.
Submitting cases to software vendors to ask questions, reporting defects, and requesting enhancements.
Preparing test plans and performing unit testing on upgrades.
Assisting users with acceptance testing.
Running per diem load processes at intervals.
Maintaining and reviewing security; granting user permissions.
Monitoring user forums and SAP communications for news on technology changes and discussions on current issues and upcoming releases.
Provide functional and technical support for the ESM Contract Management
Tasks include but are not limited to:
Performing troubleshooting; investigating and resolving problems reports by users.
Submitting cases to the vendor to ask questions, reporting defects, and requesting enhancements.
Providing time-critical support for serious issues and system-down events.
Preparing test plans and performing unit testing on upgrades.
Assisting users with acceptance testing.
Designing, testing, and maintaining workflow approvals.
Maintaining and reviewing security; granting user permissions.
Provide functional and technical support for ESM Purchase and ESM Source
Task include but are not limited to:
Configuring e-procurement integration to other systems, e.g. Amazon Business.
Submitting programming requests to support integrations when necessary.
Performing troubleshooting; investigating and resolving problems reports by users.
Submitting cases to the vendor to ask questions, reporting defects, and requesting enhancements.
Providing time-critical support for serious issues and system-down events.
Preparing test plans and performing unit testing on upgrades.
Assisting users with acceptance testing.
Maintaining and reviewing security.
Perform business process analysis based on understanding of business needs
Tasks include but are not limited to:
Working with business owners and staff to determine whether system features address their business needs, conforms to "best practices", and meets auditor requirements.
Providing recommendations on adoption of new system functionality.
Conducting formal business process analysis (BPAs) to investigate changes to owner business needs and/or changes to system functionality, identifying pain points, improvements, and gaps.
Participate in projects and project management
Tasks include but are not limited to:
Attending project meetings, participating in decision-making, performing assigned action items.
Acting as a co-lead or subject matter expert for topics pertaining to travel, contracts, e-procurement, sourcing, and related systems.
Serving on core teams or work teams for system integrations, participating in development of integration specifications.
REQUIRED QUALIFICATIONS
Bachelor's degree in Information Systems or Business Administration, or equivalent experience.
2-3 years of aggregate experience in one or more of the following areas: travel services, contract management, e-procurement, and sourcing.
Experience writing programming requests and translating business needs into specifications.
Demonstrated strong diagnostic and problem-solving skills.
Demonstrated ability to "think outside of the box" to research and resolve problems.
Demonstrated understanding of travel, contracts, and procurement business processes.
Demonstrated understanding of common daily business processes.
Demonstrated ability to interview stakeholders and understand their business needs.
Fluent understanding of business process analysis and process mapping.
Experience performing analytical work in a large-scale computer system.
Experience leading teams or acting as a subject matter expert on team projects with people of diverse backgrounds.
Strong multi-tasking ability; able to identify and balance competing priorities.
Highly self-driven; able to work independently and effectively with minimal supervision.
Demonstrated excellent communication skills.
Demonstrated ability to simplify and communicate technical information to diverse stakeholders.
Team-oriented, friendly, approachable, and able to elicit customer engagement.
Fluent knowledge of the MS-Office suite, particularly Outlook, Word, Excel, and Visio.
PREFERRED QUALIFICATIONS
Experience with Ellucian Banner Enterprise Resource Planning system and Ethos integration.
Experience with travel expense management systems.
Experience with contract, e-procurement, supplier management, or sourcing systems.
Prior participation in system implementations, local or cloud based.
