About the Job
The Financial Administrator 1 (FA1) will join a team of professionals in UC International Programs (Study Abroad) and UC International Planning that that are dedicated to students traveling abroad. UC International is the university-wide unit, within the Office of the Senior Vice President for Academic Affairs & Provost, for serving international students and scholars, education abroad students, as well as the development of the university's international strategic planning. The FA1 will oversee the planning and supervision of the fiscal administrative duties related to faculty-led study abroad programs and will provide financial and business support to the Assistant Directors and Study Abroad Advisors. The position will report directly to the Executive Director of Study Abroad Programs with a dotted line to the Business Administrator of UC International and Director of University Honors Program.
The FA1 will be responsible for processing contracts, payments, purchase orders, cash advances, and reimbursements as related to faculty-led study abroad programs, utilizing university systems such as PACE, Concur, as well as others. The position will also be required to run reports in UC Flex/BI Launchpad to track expenses and monitor faculty-led program budgets. The FA1 will assign an internal order to each program and work with the Bursar's Office to create more internal orders when needed. The position will also be required to close internal orders after study abroad programs are completed. The FA1 will assist in the development and implementation of financial policies/expectations for faculty-led study abroad programs and provide advice to the study abroad team and faculty leaders on how to carry out policies and procedures according to local, state, federal, and university regulations.
Job Overview
The FA1 will utilize Catalyst to oversee and post scholarships for students participating in faculty-led study abroad programs for UCI, Lindner College of Business (LCB), and University Honors Program (UHP/Honors). This includes processing changes/cancellations, maintaining student scholarships, and documenting in Terra Dotta. May need to trouble-shoot to ensure scholarships have been posted and disbursed on students' accounts. The FA1 will also need to monitor and track UCI's scholarship budgets to be sure certain scholarship accounts are utilized in the designated order. May be required to post refunds to students' accounts in the event a program has a surplus of funds after all expenses have been paid. The FA1 will also enroll UCI, LCB, and UHP students in Cultural Insurance Services International (CISI) and STEP. The FA1 will be the UCI contact with CISI to resolve any invoicing/payment issues and renew our annual agreement with CISI.
The FA1 will also process transcripts from students as related to study abroad. Will be responsible to communicate with students, Financial Aid, and other UC Colleges regarding issues including, but not limited to: credit approvals, change of grades, advanced standing paperwork, and others.
The FA1 will also be responsible for HR-related duties involving processing employee leaves of absence and FMLA for the following units: UC International, University Honors Program, and Nationally Competitive Awards Office. Other HR duties may be assigned based on departmental need.
This position will have the option of a hybrid work schedule (3 days in the office/2 days work from home) for those with a residence within OH/IN/KY, following 90 days of training. Residence must be in the tri-state area within reasonable distance to UC Main Campus to have ability to report to campus as required. Remote work arrangements are subject to change in accordance with university policies.

Required Education
- Bachelor's Degree must be in accounting or related field.
- Four (4) years of relevant work experience and/or other specialized training can be used in lieu of education requirement.

Related finance or accounting experience.
Additional Qualifications Considered
- Comfortable with being responsible for overseeing faculty-led program budgets with a primary responsibility for the preparation of travel advances and reconciliation of faculty-led program finances upon their return, which often includes invoices in foreign currencies and working with exchange rates.
- Provide leadership and oversight on developing and maintaining protocols for program budget implementation.
- Knowledge of UC systems, such as Catalyst, PACE, Concur, Terra Dotta, UC Flex: F1, BI Launchpad, Salary/Leave Administration.
- Knowledge and experience with UC financial, purchasing card, travel, leave of absence and FMLA policies.
- Possesses strong organizational skills so that timely posting of program fees and scholarships to student accounts can occur.
- An ability to maintain accounting records, oversee the processing of payments and wire transfers, travel advances, edit and approve credit card transactions, and reconcile program accounts as well as making sure that invoices are tied to correct account lines.
- Exercise sound judgement in decision making that can affect overall program financial outcomes.
