Responsibilities
This position is responsible for the supervision of the Travel Office in Disbursement Services by providing oversight, leadership and assistance with issues related to Concur and the university’s Travel Management Company (TMC). Manages, evaluates, and provides feedback to the travel staff.
Establishes and maintains departmental goals and objectives. Utilizes foundational knowledge of principles, practices, and standards of professional management, diversity & inclusion, leadership, and human resources policy and procedure to promote the incremental improvement of staff productivity. Participates in planning and administration of departmental projects, activities, and initiatives. Serves as a link between management and employees by handling questions, interpreting and administering policies and procedures, and resolving work-related problems. Elevates management concerns to superiors for insight and direction.
Serve as the primary resource for the University Concur Travel system and TMC; analyzes data and produces reports to reflect the operational and travel trends of the University. Makes recommendations for the improvement of procedures and outcomes through routine monitoring, troubleshooting, problem-solving, and process development. Identifies problem areas with awareness to recognize potential areas of non-compliance. Provides recommendations on available training tools, travel system operations upgrades and assists the system administrator with establishing and validating enhancements.
Maintains all travel-related communications and training materials through various electronic methods including website, listservs, and email accounts. Provide oversight to the travel card administration functions including fraud alerts and ensures card limits and the correct MCC codes are available for allowed travel card expenses.
Makes recommendations for policies and procedures, actively seeking to build, improve, and adapt methods and directives to enhance compliance, promote university and division initiatives, and improve effectiveness and efficiency. Ensures that all tasks are completed in compliance with Generally Accepted Accounting Principles, departmental procedures, university policy, and applicable federal and state regulations and laws.
Documents internal business process as well as backup and cross-training of critical and ancillary business functions. Participates in disaster recovery planning, testing, and if necessary, execution. Ensures the health and safety of workspaces and personnel. Maintains physical and electronic departmental records. Assists senior management with projects as assigned.
Qualifications
Master's degree in accounting, finance, or similar field and three years experience; or Bachelor's degree in accounting, finance, or similar field and five years experience; or a combination of post-high school education and experience equal to nine years.
