The Associate Director of Administration is a member of the Office of Housing Administration team. In conjunction with the Director, Associate Director of Business Operations, other managers, staff, and students, this position assists in carrying out the mission, vision, and values, of the Office of Housing Administration and is responsible for supporting and contributing to an atmosphere that facilitates respect, inclusivity, collaboration, and growth.
Under the supervision of the Director of Housing Administration, the Associate Director of Administration oversees the management of the housing operations. Plans, organizes and directs the activities of contract management, person to person and virtual customer engagement and service, summer session housing, conference and overnight guest accommodations. The Associate Director of Administration develops and implements policies, establishes short-term and long-term goals, evaluates and updates goals. Serves as a member of OHA Department Leadership Team (DLT), which makes strategic decisions for OHA.
The Associate Director of Administration plans, organizes and directs the activities and position duties of the Assignments Lead, Procurement and Assignments Analysts (2), Hospitality Specialist, Student Accounts Coordinator, 15 front desk student assistants, 40 summer conference student assistants, and 5 guest services assistants. The Associate Director of Administration coordinates all staff hiring, orientation, and training for the supervised staff. Prepares and gives direct reports employment coaching, counseling, evaluations, handles discipline as necessary.
Under the direction of the Director, represents, coordinates and supervises the Housing Administration contractual program for approximately 8,000 new and returning residents for 22 housing facilities. Under the direction of the Director, represents, coordinates and supervises the Housing Administration contractual material ordered and sent to approximately 8,000 housing applicants and licensees.
The Associate Director of Administration works with the Director and Associate Director of Business Operations regarding the planning, training, and implementation of the emergency management and business continuity plans. This position performs "essential functions" and is required to report to work during emergency university closures.
The Associate Director of Administration serves as the liaison with the Center for Human Resources regarding OHA and Housing Facilities Services (HFS) staff related concerns. Provides resource assistance and advises leadership regarding preparation of accurate position descriptions, recruitment selection and appointments in accordance with applicable policies and guidelines, and employs department standards for on-boarding and training.
Under the direction for the Director, the Associate Director of Administration is responsible for the operation and administration of the summer conference program, including staff training, customer service, occupancy management, key management, and billing.
Equivalent to a bachelor’s degree in business administration, public administration or a closely related field OR a combination of education and experience which provides the required knowledge and abilities. Three years of professional university housing experience. Master’s degree may substitute for 1 year of the required experience. Minimum of two years of supervisory experience. Previous housing contract experience.

Experience with StarRez.
Experience with Conference Service Operations.
Familiarity with Apple operating system.
Familiarity with FERPA.
Experience managing complex paperwork processes.
Experience verbally interpreting policies, regulations and contracts to students and parents.
Experience preparing written documents.
Experience working with relational databases.
Experience that demonstrates the ability to successfully oversee both fulltime professional and student staff to achieve departmental goals.
Proficient in Microsoft Word and Excel.
Additional Salary Information: Starting salary upon appointment not expected to exceed $7,931 per month. Salary placement is determined by the education, experience, and qualifications the candidate brings to the position, internal equity, and the hiring department's fiscal resources.
