General Statement of Duties: The Director will provide leadership, professional expertise, and direction and hands-on support to the newly established event management team in the planning and execution of campus events and functions; supervises, executes and provides operational support to events; review and recommend policy, process, procedure and operational initiatives to ensure that campus wide priorities are reflected in the scheduling, planning and delivery of events services.. The director also identifies, procures, schedules and implements cultural programming for the university and the public.
Duties & Responsibilities:
Responsible for the overall direction and leadership for the Office of Event Management, provides supervision and operational support to varying events on campus.
Develops and maintains professional standards and procedures for production of events; will execute an active and passive event resources plan for the campus in keeping with the image and reputation of Fitchburg State University.
Develops, recommends and implements campus-wide policies and guidelines relative to use of space and events in collaboration with appropriate divisions heads and executive staff.
Supervises all event reservations and changes to the campus-wide calendar to facilitate appropriate usage and fairness to all groups. Identify scheduling discrepancies and mediate all changes to accommodate each group. Oversees process and system for digital reservation database Event Management System (EMS)
Reviews, evaluates and assigns service tiers to events and determines appropriate levels of service related to the event.
Will serve as the primary event manager for university level programming and presidential events; collaborate with varying offices when applicable; execute individually, collectively and or assign appropriate staffing responsible to implement all approved EMS reservation requests/events.
Responsible for interviewing, hiring, training, supervising and evaluating staff.
Partner with campus services, Capital Planning and Maintenance, Campus Police, Campus Center, Chartwells, Information Technology, etc., to ensure appropriate support of all campus events
Identify, schedule, market, sell and manage implementation of cultural programming for the university, including both live performances and gallery exhibits; will work with Marketing to promote/advertise specialty events. Develop strategies for successful engagement of campus and community audiences
Oversees the Box Office including staff, scheduling, cash box, deposits and ticket sales.
Develops and maintains event pricing parameters for external groups utilizing campus space, responsible for getting final approval from appropriate university officials.
Reviews bills and departmental charges pertaining to events and processes according to university policy.
Establish and monitor department budget an individual program budgets (commencement, convocation, etc.) for events management, cultural affairs, etc.
Collaborate with Marketing and other departments to assist in development of a Master Calendar concept while ensuring that campus wide priorities and branding are reflected in events therefore supporting the mission of the university while enhancing its’ reputation.
Manage events in accordance with university rules and applicable policies, state, and local laws, regulations and licensing requirements and university contractual agreements.
Evaluate and assess events and event services.
Serve as a member of the University Emergency Response Team, providing and applying knowledge relating to campus programming in the event of an emergency and other campus committees as needed.
Serves on a community boards etc. for the university as requested.
Performs other duties as assigned by supervisor.
Baccalaureate degree with five to seven years’ experience in related field and or conference coordination.
Experienced with and knowledgeable about special event planning, coordination and publicizing programs and performances.
Outstanding interpersonal skills and the ability to work effectively with diverse constituents, students, faculty, staff, alumni and members of the community.
Strong organizational skills and managerial capabilities including experience in event planning, finance, personnel supervision and office management.
Demonstrated success with managing a diverse staff and operations within a fast paced environment.
Demonstrated experience supervising staff, including training, coaching and evaluating staff.
Ability to work well under pressure and to meet deadlines and assume responsibility without direct supervision.
Knowledge of organizational interrelationships and of aspects of a higher education system.
Knowledge of Event Scheduling Software.
The position requires schedule flexibility, and including evenings and weekends.
Ability to lift heavy objects, comfort working at heights, and possess a valid driver’s license.
Must be able to satisfactorily pass a check conducted by the Criminal History Systems Board (CORI) as well as a completed background check satisfactory to the university.
Ability to perform above duties with or without reasonable accommodation.
