Assistant Director of Conference Services
Reporting to the Director of Business Services, the successful candidate will be responsible for all conference services operations, administration, client sales and contract negotiation. Conference Services operates predominantly in summer months, June – August. Scheduling and coordinating conferences, meetings and banquets in the Kelly (Student) Commons is year round. This is a full time year-round position.
The candidate will coordinate and execute the terms of client contracts and agreements, arrange for facilities and services, such as room rental and set up, catering and food service, housing supplies, media, staffing and registration. Prepare all logistical aspects for participants, to include confirmation materials, food and lodging, transportation, supplies, medical information/needs, handouts, etc. Assist in the development and distribution of marketing materials: maintain conference website and social media. Serve as liaison with outside clients and event organizers at start of and during conferences & events.
Manage on-campus housing assignments for staff and guests, linen services, housekeeping and key assignments during the summer. Coordinate purchase and manage inventory of camp and conference supplies. Manage relationships with all campus services who support conference and event operations.
Produce management reports and communications; maintain invoice logs, contracts database and event files. Creates and distributes client invoices. Reviews invoices to ensure accuracy and compliance with services rendered and delivered. Strong aptitude with MS Word and Excel are required.
This position will require nights and weekends during the summer months. The Manhattan College Conference Services operation has experienced large growth in a short term requiring the addition of this full time administrator role. During off peak periods during the academic year, the Assistant Director will assist and support the Director with other projects and assignments as needed.
